How it works

Servers needed = ceil(total tables ÷ tables per server) · Covers per server = (total tables ÷ servers) × seats per table

Sectioning a dining room is simply dividing the tables among servers so no one is stretched past the point of good service. Dividing total tables by your station standard (often 4–6 tables per server, depending on menu complexity and check average) gives the headcount you need, rounded up. Comparing that to who is actually scheduled tells you at a glance whether a shift is over- or under-staffed, and the covers-per-server figure sanity-checks the load against kitchen and floor capacity.

Worked example

A 32-table room run at 5 tables per station needs ceil(32 ÷ 5) = 7 servers for full coverage. Schedule only 6 and each carries 32 ÷ 6 = 5.3 tables, or about 21 covers each at 4 seats a table — one short of the standard, so expect longer table times at peak.

Frequently asked questions

How many tables should one server handle?

Casual, fast-turning concepts often run 5–6 tables per server; fine dining with heavy service steps may drop to 3–4. The right number balances guest experience against labor cost — too many tables slows service, too few inflates payroll.

Why round the servers-needed number up?

You cannot schedule a fraction of a person, and rounding down would leave some tables beyond any station’s standard load. Rounding up guarantees every table falls inside a section at your target service level.

How does this connect to labor cost?

Servers needed drives scheduled hours, which drive labor cost. Pair this with a labor cost percentage or kitchen-labor-per-cover calculation to check that the coverage you want is affordable against forecast sales.
