How it works

Staff needed = ⌈forecast demand ÷ capacity per staff⌉ · Coverage gap = staff needed − staff scheduled · Labor cost = scheduled × wage × shift hours

Staffing to a coverage ratio starts from the work to be done — guests, tickets or units — and divides it by how much one person can handle in the shift, rounding up so demand is fully covered. Comparing that against who is actually scheduled reveals whether you are understaffed (slow service, burnout) or overstaffed (paying for idle labor). Because a fractional person cannot be scheduled, the requirement always rounds up to the next whole staff member.

Worked example

A shift forecast at 240 guests, where each server comfortably handles 30, needs ⌈240 ÷ 30⌉ = 8 staff. With only 7 scheduled you are 1 short. The 7 scheduled at $18/hour over an 8-hour shift cost $1,008 in labor, and each is covering about 34 guests — above the 30 target.

Frequently asked questions

How do I set capacity per staff member?

Base it on observed throughput — how many covers a server handles well, tickets an agent closes, or units a picker moves in the shift — at the service quality you want. Setting it too high looks efficient on paper but shows up as slow service and errors.

Why round the staff requirement up?

You cannot schedule a fraction of a person, and rounding down would leave demand uncovered. Rounding up guarantees the forecast volume is fully served, then you decide whether the small amount of slack is worth the extra labor cost.

How does this relate to labor cost percentage?

This sizes the headcount for a shift; labor cost percentage checks that the resulting payroll stays in line with the sales it produces. Use them together — cover demand, then confirm the schedule fits your labor budget.
