Catering Staff Count Calculator
Estimate how many servers, bartenders and kitchen staff your event needs based on guest count and service style.
How it works
Servers = ceil(guests ÷ ratio) · Bartenders = ceil(guests ÷ 75) · Kitchen = ceil(guests ÷ 40) · Labor = staff × hours × rate
Staffing scales with both headcount and how the food is served. Plated dinners are the most labor-intensive at about one server per 15 guests, buffets need fewer servers (roughly one per 25) because guests serve themselves, and passed cocktail service falls in between. Add roughly one bartender per 75 guests for a bar and about one kitchen hand per 40 for plating and cleanup. Multiplying total staff by service hours and the hourly rate gives a labor estimate before gratuity.
Worked example
For 120 guests, plated service: servers = ceil(120 ÷ 15) = 8, bartenders = ceil(120 ÷ 75) = 2, kitchen = ceil(120 ÷ 40) = 3, for 13 staff. Over 5 hours at $25/hr, labor is 13 × 5 × $25 = $1,625.
Frequently asked questions
How many servers do I need per guest?
Plan about one server per 15 guests for plated dinners, one per 20 for family style, and one per 25 for buffets. More formal, multi-course service needs more servers; casual self-serve setups need fewer.
How many bartenders for my event?
A common guideline is one bartender per 75 guests, or per 50 for a busy full bar with cocktails. Two bar stations shorten lines noticeably compared with one, even at the same total bartender count.
Does this include gratuity?
No — this is a base labor estimate from headcount, hours and an hourly rate. Caterers usually add an 18–22% service charge or gratuity, and delivery, rentals and food cost are all separate line items.
