Wedding Cost Per Guest Calculator
See what each guest really costs by dividing your wedding budget and catering spend by the head count — the fastest way to right-size the list.
How it works
Cost per guest = total budget ÷ guests · Catering per guest = catering ÷ guests
Wedding costs split into fixed items that do not change with the guest count — the venue, photographer, dress, flowers — and variable items that scale directly with heads, chiefly catering and the bar. Only the variable share actually falls when you shorten the list, so the true saving from cutting guests is the catering-per-head figure, not the whole cost-per-guest number.
Worked example
On a $30,000 budget with $14,000 of catering for 120 guests, the total is $250 per guest but only $117 of that is food and drink. Cutting 10 guests saves about $1,167 in catering — the fixed $16,000 stays the same.
Frequently asked questions
What is the average cost per wedding guest?
It varies enormously by region and style, but catering and bar commonly run $70–$150 per head in the US, with total per-guest costs (once fixed items are spread across the list) often two to three times that.
Does inviting fewer guests really save money?
Only the variable costs fall — mainly catering, bar, rentals and favors. The venue, photographer and attire cost the same whether 90 or 120 people attend, which is why this tool separates the catering-per-guest figure.
How do I use cost per guest to plan the list?
Take the catering-per-guest number as the marginal cost of each extra invitation. Multiply it by the guests you are unsure about to see exactly what the "maybe" list is adding to the bill.
