How it works

Base = guests × (2 if separate ceremony else 1) · Spare = ceil(base × spare%) · Chairs = base + spare · Cost = chairs × price

The trap in chair rentals is the ceremony. If guests sit for a ceremony in one location and then move to a reception in another, you often need two chairs per guest because the same chairs cannot be flipped in time. When the ceremony and reception share a space, or you pay staff to "flip" the room, one chair per guest is enough. On top of the base count, add a small buffer for vendors, staff and the occasional broken chair.

Worked example

For 120 guests with a separate ceremony, base seating is 120 × 2 = 240 chairs. A 5% buffer adds ceil(240 × 0.05) = 12, for 252 chairs. At $3 each that is 252 × $3 = $756.

Frequently asked questions

Why might I need two chairs per guest?

When the ceremony and reception happen in different areas at the same time, the same chair cannot serve both, so you rent one set for each. If the venue is "flipped" — staff move ceremony chairs to the reception during cocktail hour — you can rent a single set and save significantly.

How much do event chairs cost to rent?

Basic folding or resin chairs run roughly $1.50–$3.50 each, chiavari chairs $6–$12, and specialty chairs more. Delivery, setup and pickup fees are usually separate, so confirm the all-in quote rather than just the per-chair rate.

How many spare chairs should I add?

A 3–8% buffer covers vendors, staff, damaged chairs and small headcount changes. Larger, more formal events lean toward the higher end so a last-minute guest is never left standing.
