Subscription Seat Cost Calculator
Price a per-seat software subscription: combine seats, price, billing cycle and any annual discount to see your monthly and yearly spend and cost per active seat.
How it works
Effective price = list price × (1 − annual discount% if annual) · Monthly = seats × effective price · Annual = monthly × 12 · Cost per active seat = monthly ÷ active seats
Per-seat pricing looks simple until unused licenses and annual prepay discounts enter the picture. Committing to an annual plan usually trims the per-seat price, but only if you actually need the seats for the full year. The cost-per-active-seat figure exposes the real economics: paying for twenty seats while fifteen are in use quietly inflates what each working seat costs, and the idle-seat line puts a yearly price tag on the waste.
Worked example
20 seats at an $18 list price on an annual plan with a 20% discount cost $14.40 each — $288 a month, or $3,456 a year. With only 15 seats actually used, each active seat really costs $19.20/month and the 5 idle seats waste $864 a year.
Frequently asked questions
Is an annual plan always cheaper?
Per seat, usually yes — annual prepay commonly saves 15–25%. But it only pays off if you keep the seats all year; if headcount drops mid-term you can be locked into licenses you no longer need.
How do I cut wasted seats?
Reconcile purchased seats against active users regularly. Reassign or remove idle licenses at renewal — the "wasted" line here shows exactly how much reclaiming them would save.
Should I price per active seat or per purchased seat?
Budget on purchased seats since that is what you pay, but manage on cost per active seat — it reveals whether you are over-provisioned and where to trim.
