How it works

FTE = total hours worked ÷ full-time hours in the same period · full-time hours = full-time weekly hours × weeks (1, 2, 52 ÷ 12 or 52) · one person's FTE = their weekly hours ÷ full-time weekly hours

Full-time equivalent (FTE) turns a mix of full-time and part-time staff into the number of full-time workers they add up to. It is used for budgets, staffing ratios, revenue per employee, grant reporting and legal thresholds (for example, the US Affordable Care Act counts part-time hours toward FTEs). One FTE equals the employer's standard full-time week — 40 hours in many places, 35–38 in others — so use your own definition.

Worked example

A team of 38 people works a total of 1,240 hours in one week where full time is 40 hours. 1,240 ÷ 40 = 31.00 FTE: on average each employee is 0.82 FTE (32.6 hours). Another 40 hours of work a week would make it 32 FTE.

Frequently asked questions

How do you calculate FTE?

Add up the hours everyone worked and divide by the full-time hours for the same period. 1,240 hours in a 40-hour week is 31 FTE; 20 hours a week for one person is 0.5 FTE.

What is the difference between FTE and headcount?

Headcount counts people; FTE counts full-time workloads. Ten half-time employees are a headcount of 10 but 5 FTE.

How many hours is 1 FTE per year?

With a 40-hour week, 52 × 40 = 2,080 hours. With 37.5 hours it is 1,950. Some organisations exclude holidays and use about 1,800 productive hours.

Should overtime count toward FTE?

For capacity and cost reporting it often does, which can push FTE above headcount. For legal thresholds, follow the specific rule — some cap each person at 1.0 FTE.
